This policy covers the SENTRY website (sentry.wildknightsquadron.com), the SENTRY API, and the SENTRY Overlay desktop app. It is written for people, not lawyers. SENTRY is a community project operated by Wild Knight Squadron in Texas, United States. It is not affiliated with Cloud Imperium Games or Roberts Space Industries.
1. Publicly listed Star Citizen information
SENTRY collects information that is publicly listed on RSI.com citizen and organization pages. For citizens: handle, display name, avatar, title, enlisted date, fluency, location, website, and bio. For organizations: org memberships and ranks (hidden and redacted memberships appear only as placeholders) and org profile text. SENTRY reads these publicly available pages and records when that information changes, including membership and rank changes. This information is shown on the website and through the public API without sign-in. We never receive your RSI password.
2. Your SENTRY account (NAVCOM-ID)
When you sign in with NAVCOM-ID, SENTRY receives and stores:
- your verified RSI handle and public org ranks
- your Discord id and your verified email address, if NAVCOM-ID shares them
- the NAVCOM sign-in tokens SENTRY needs to keep your account linked
SENTRY also stores a session so you stay signed in. See the NAVCOM privacy policy at navcom.ai/privacy.
3. Information you enter
The following are stored with your account:
- notes, contact reports, comments, tags, and reputation scores
- ship lists and battle tracks
- sharing groups, sharing lists, and sharing defaults
- messages and notification watches
Each item is visible only to you and to the people, orgs, and sharing groups you choose. Tags and reputation stay private to you.
4. API tokens
If you create a sen_ API token, we store only a hash of it, plus its name, scopes, creation time, and last-used time.
5. SENTRY Overlay and your Game.log
The Overlay reads the Game.log file Star Citizen writes on your computer to build your Contacts list. Game.log can contain your handle, other players' handles, ship and item names, locations, shard and session identifiers, and local file paths (which may include your computer user name).
- Game.log forwarding (verbose log streaming). While you are signed in to the Overlay with NAVCOM-ID and Game.log tailing is running, the Overlay sends Game.log lines to SENTRY in small batches. Each batch includes your SENTRY account, handle, Overlay version, shard, and basic Overlay telemetry. We use it to improve Game.log parsing and contact detection, and to diagnose Overlay problems.
- This is currently on for all signed-in users, and it is temporary. Once Game.log parsing reaches a satisfactory level, forwarding will become an opt-in setting that is off unless you turn it on. We will update this policy when that happens.
- How to stop it now: sign out of NAVCOM-ID in the Overlay (Options → Account), or turn off Game.log tailing (Options → Contacts → "Tail Game.log for extra intel"), or close the Overlay.
- Upload Game.log for analysis. Only when you click the button, the Overlay uploads your current Game.log (up to 25 MB, with known-noise lines removed) for parser review.
- Diagnostic reports. If you send an Overlay diagnostic report, we receive the Overlay log lines, platform, version, your handle, and your IP address.
- Share (intel streams). Contacts and reader events you choose to share are relayed to the people, orgs, and sharing groups you pick.
- Name reader. Screen capture and text recognition run on your computer. Images are not uploaded unless you submit a reader sample.
- Updates. The Overlay checks this site for new versions. Like any web request, that check includes your IP address.
6. Contact Us form
When you use Contact Us, we receive your name, email address, subject, message, and IP address. We send this as an email through Mailgun, our email delivery provider, to the SENTRY team inbox so we can reply. We do not store Contact Us messages in the SENTRY database. We keep a short-lived counter of your IP address to limit abuse. Messages are kept in the team inbox for up to 1 year.
7. Service providers
- Cloudflare: carries website traffic and caching, so it sees IP addresses and request data.
- Mailgun: delivers Contact Us email.
- NAVCOM-ID (navcom.ai, same operator): handles sign-in.
Our own servers host the database and API. We do not sell data. We do not run ad pixels or third-party analytics trackers.
8. How long we keep information
- Publicly listed RSI information and its change history: kept while SENTRY operates. Profiles that are no longer listed on RSI.com are marked archived.
- Information you enter: kept until you delete it or delete your account (see section 9).
- Forwarded Game.log lines, Game.log uploads, and diagnostic reports: up to 1 year.
- Server and access logs: up to 1 year.
- Contact Us emails: up to 1 year.
9. Deleting your account and your choices
- Account deletion removes all information you entered on SENTRY with that account. That covers your notes, contact reports, comments, tags, reputation, ship lists, battle tracks, sharing groups and settings, messages, API tokens, and sessions. It also removes Overlay data tied to your account (forwarded Game.log lines, uploads, diagnostic reports) and your account record.
- Account deletion does not remove information SENTRY received from publicly listed RSI.com pages, such as citizen and organization profiles, memberships, and their history. That information reflects what RSI.com lists publicly. If you change your RSI.com profile, SENTRY records the change the next time it reads that page.
- How to delete your account: a self-service option is coming to Settings → Account. It will include confirmation steps, plus an email confirmation if your account has an email on file. Until then, ask for deletion through Contact Us and we will complete it after confirming the request comes from the account holder. Deleting your SENTRY account does not delete your NAVCOM-ID account; manage that on navcom.ai.
- Other choices: delete individual notes and reports at any time. Revoke API tokens under Settings → Account. Stop Game.log forwarding as described in section 5.
10. Children
SENTRY is not for children under 13. We do not knowingly collect their information. If we did, tell us through Contact Us and we will delete it.
11. Changes
We post updates on this page with a new "Last updated" date.
